The short version: companies use Saucer to manage their crews, and the information they collect stays theirs. We use it only to run Saucer for them. We don’t sell personal information, we don’t run ads, and we don’t use advertising cookies.

1. What this policy covers

This policy explains how Saucer LLC (“Saucer,” “we,” “us”) handles information on getsaucer.com, the manager site at app.getsaucer.com, each company’s team site and crew hub at company.saucer.team, and any Saucer app.

Saucer is used by businesses (our “Customers”) to manage their crews. That means there are two kinds of information here:

  • Crew and applicant information that a Customer collects through Saucer. The Customer decides what to collect and how to use it, and Saucer handles it on the Customer’s behalf as its service provider. If you’re on a company’s crew or applied to one, that company’s own privacy practices also apply, and it’s the best place to start with questions about your information.
  • Information about our Customers’ account users and website visitors, which Saucer handles for its own business.

2. Information we collect

From company accounts

Names, email addresses and roles of owners, admins and managers; company name, logo, colors, contact and social links; and billing details when paid plans are set up (card details are handled by our payment processor, not stored by Saucer).

From crew and applicants, through a Customer

Depending on what each Customer turns on and asks for, this can include:

  • Name, nickname, email, phone, mailing address, date of birth, emergency contact and the answers to the company’s application and profile questions.
  • Application materials, including audition videos and documents.
  • Team member ID, roles, departments, availability, schedules, badge codes, check-in and check-out times, and hours.
  • Onboarding progress, course and quiz results, and signed documents, including typed or drawn signatures and initials with the time, IP address and browser used to sign.
  • Health or medical information, if a Customer’s forms ask for it. Saucer limits those documents to the Customer’s owners and admins.
  • Messages, shout-outs, patches and recognition, comp ticket requests, and photos such as wardrobe looks.
  • Incident reports a Customer files, which can describe injuries or health, with photos and video, and statements from team members.
  • Performance reviews, rehire recommendations and pay changes a Customer records, opening and closing checklists with their photos, and referral and payroll export details such as an ADP employee ID.

From guests and witnesses giving an incident statement

If a company’s staff shows you a QR code after an incident, the statement page collects your name, phone, email, optional mailing address, a parent or guardian’s name and phone if the person involved is under 18, your account of what happened, any injury details you choose to share, photos or video you add, and your signature with the time, IP address and browser used. It goes only to that company, which decides how it’s used and kept, and Saucer handles it on the company’s behalf.

Automatically

Basic technical information when you use the Service, such as IP address, browser and device type, pages requested, and error details, used to run, secure and fix the Service.

The website chat

The chat on getsaucer.com (Allen) is answered by an AI assistant from Anthropic using the information on our website. What you type in the chat is sent to Anthropic to write a reply, and Saucer doesn’t store the conversation. If you choose “Talk to a person,” we email your name, email, message and the chat to our team so we can reply. Please don’t share passwords, card numbers or other sensitive information in the chat.

Cookies and similar storage

We use cookies and your browser’s storage for things the Service needs to work, like keeping you signed in and remembering settings such as which tab you were on.

Website analytics

Our public website’s home and Our Story pages at getsaucer.com use Google Analytics to count visits and see which pages people find useful. It sets cookies that recognize a returning browser and tells us things like the pages viewed, how a visitor found us, their general location (city level) and device type. Google’s advertising features are turned off, and we don’t use this information for ads. Google Analytics doesn’t run on the manager site, team sites, crew hubs or any Saucer app. You can block it with your browser’s cookie settings or Google’s opt-out add-on. Saucer doesn’t use advertising cookies.

3. How we use information

  • To provide the Service: show schedules and hubs, check people in, send sign-in codes, deliver messages and paperwork, and the other features Customers use.
  • To send emails on a Customer’s behalf, such as application updates, invitations and shout-out notices. These come from no-reply@getsaucer.com under the company’s name, and replies go to the company.
  • To keep the Service secure, prevent abuse, and find and fix problems.
  • To provide support, including looking at a Customer’s account when needed to help them (look-only by default, time-limited and logged).
  • To improve Saucer, using information about how features are used.
  • To bill Customers and send account notices.
  • To meet legal obligations and enforce our terms.

We don’t sell personal information, and we don’t share it for targeted advertising. We don’t use crew or applicant information for our own marketing.

4. How information is shared

  • With the Customer it belongs to. Crew and applicant information is available to that company’s managers, and to its crew leaders only as far as the company allows.
  • Within a crew, as the company sets it up. For example, teammates can see each other’s names in the crew directory, and shout-outs are shown to the team.
  • With service providers that help us run Saucer, such as hosting, database and email delivery. They may use the information only to provide their services to us. See our Subprocessors list.
  • With integrations a Customer turns on, such as a background check provider, under that provider’s terms.
  • For legal reasons, when we believe in good faith it’s required by law or legal process, or needed to protect someone’s safety or our rights.
  • In a business transfer, such as a merger or acquisition, in which case this policy will continue to apply to the information transferred.

5. How long we keep information

We keep Customer information for as long as the Customer’s account is active, and as the Customer decides. For example, a company can keep former crew on file to rehire them. After an account ends, we keep its data for up to 12 months so the Customer can return or request a copy, then delete it, unless the Customer asks us to delete it sooner. We may keep limited records longer where the law requires. Each company’s data is also backed up nightly and the last five nights are kept, and a deleted crew member stays in a 30-day trash before being removed, so deleted information can remain in these backups for a short time.

6. Security

We protect information with encryption in transit, encryption at rest by our database provider, separation of each company’s data enforced in the database, role-based access, and logged, look-only support access. No system is perfectly secure, though, and we can’t guarantee absolute security. See our Security page for more.

7. Your choices and rights

  • Crew and applicants: you can update much of your own information in your crew hub. For other requests, like a copy of your information, correcting it or deleting it, contact the company you work for or applied to; it controls that information. If you contact us, we’ll pass your request to that company and help it respond.
  • Account users and visitors: email support@getsaucer.com to access, correct or delete your information.
  • State privacy rights: depending on where you live, you may have rights to know, access, correct, delete or get a copy of personal information, and to not be treated differently for using them. We don’t sell or share personal information for targeted advertising, so there’s nothing to opt out of there. We’ll verify requests before acting on them, and you may use an authorized agent where the law allows.
  • Emails: sign-in codes and account notices are part of the Service. Messages a company sends you through Saucer are controlled by that company.

8. Children

Saucer isn’t directed to children under 13, and we don’t knowingly collect personal information from them. Customers set their own minimum ages for applicants and crew and are responsible for any consent the law requires for minors they hire. If you believe a child under 13 has given us information, email support@getsaucer.com and we’ll delete it.

9. Where information is stored

Saucer is operated from the United States, and information is stored and processed in the United States.

10. Changes to this policy

We may update this policy. If we make material changes, we’ll notify account owners by email or in the Service before they take effect, and update the date at the top of this page.
